The average recruitment firm runs on a tech stack that was designed for a job board era. An ATS built in 2008, a CRM bolted on later, a sourcing tool, a scheduler, a job-board integration and a spreadsheet holding it all together.
The result is the same across the market. Data is fragmented. Reporting is late. Consultants spend a quarter of their week fighting the tools. The stack is the reason the business feels harder to run than it should.
If we were starting a firm today, the stack would look different. Fewer tools, higher standard on the ones we kept, and a clear point of view on where humans belong and where they do not.
The core would be one system of record. Not an ATS. Not a CRM. One system that holds every candidate, every client, every conversation and every commercial detail in one place. Everything else feeds into it.
Sourcing would be intelligence-led, not database-led. A layer that surfaces the right person on the right day based on live market signal, not a static keyword search across an ageing pool.
Communication would be structured. Every candidate and client touchpoint captured, tagged and surfaced back to the consultant next time the relationship needs a nudge. No more losing warm relationships to a full inbox.
Reporting would be real-time and boring. Boring is the goal. The founder should be able to open one dashboard on a Monday and know exactly what to change this week.
The stack we would build is not exotic. It is disciplined. Most firms fail on the discipline, not the tools.
If you are building an ambitious recruitment firm and want to compare notes on any of this, book a call.
